Terms and conditions of sale

1. Purpose

These general terms govern services provided by Peak Events for event-related work, including:

  • field coordination
  • operational management
  • event logistics
  • event tech support
  • staffing
  • event bar operations
  • event production
  • activations and immersive experiences

2. Service confirmation

Every service is subject to a quote, commercial proposal or written agreement.

Validation by email, signature or written confirmation constitutes acceptance of these terms.

3. Pricing and payment

Prices are quoted excluding VAT unless stated otherwise.

Payment terms are indicated on invoices issued by Peak Events.

Peak Events may request a deposit before starting certain services.

In case of late payment, Peak Events may suspend the ongoing mission until payment is settled.

4. Project changes

Any change to the initial scope may require an adjustment to quote, schedule, resources or deadlines.

Additional requests may be billed separately.

5. Cancellation

If a service is cancelled after project validation, Peak Events may invoice:

  • preparation time already completed
  • reserved resources
  • incurred costs
  • services already delivered

5 bis. Late cancellation

If cancellation occurs late and affects operational organisation, Peak Events may retain all or part of any deposit paid.

6. Client obligations

The client must provide all information, access, authorisations and approvals required for proper delivery. The client remains responsible for:

  • administrative authorisations
  • site access
  • overall event safety
  • suppliers it appoints directly

7. Liability

Peak Events commits to delivering services professionally and diligently, with a best-effort approach suited to event industry realities.

Peak Events cannot be held liable for third-party failures, delays beyond its control, venue infrastructure issues, damage caused by attendees or external partners, external technical interruptions or force majeure.

8. External staff and subcontracting

Peak Events may work with freelancers, technicians, coordinators or external suppliers on certain missions.

These contributors remain independent and cannot be considered employees of the client.

Peak Events may subcontract parts of a mission when necessary for operational delivery.

9. Equipment and installations

When equipment or installations are required, the client must guarantee site access, technical facilities and conditions needed for execution.

Damage to equipment belonging to Peak Events or its partners may be invoiced if the client, its teams or its suppliers are responsible.

10. Force majeure

Peak Events cannot be held liable for total or partial inability to perform due to events beyond its control, including:

  • severe weather
  • major breakdown
  • strike
  • critical technical issue
  • administrative decision
  • health crisis
  • accident
  • logistics interruption

11. Data and confidentiality

Information exchanged within projects remains confidential.

Data collected via the website or commercial exchanges is used only to respond to requests, prepare services and handle administrative and commercial follow-up.

12. Communication and references

Unless the client objects in writing, Peak Events may reference a collaboration or use certain event images for commercial reference, without disclosing confidential information.

13. Applicable law

These terms are governed by Belgian law.

In case of dispute, parties will first seek an amicable solution. Failing that, the competent courts shall be those of Brussels.
